The delivery of the design process has become increasingly complex and has often been identified as one of the key areas where waste or redundancy can occur if not managed well.

At PRP, we recognize the need for effective management of the production of information in order for our clients and contractors to deliver a quality product on time, in the most efficient manner. At PRP, we have developed a bespoke set of tools, integrated into our Management and Quality Assurance System (QA procedures) which enables us to operate within a trusted framework for Design Management. Our customized “Project Plan”, records critical information at key stages of a project including:

- Establishing the brief. A pre-commission review and written brief, recording all salient project requirements, is created and signed off on each project.
- Managing the design team. A clear Project Execution Plan (PEP) and project communications structure is established at the outset, with all responsibilities identified.
- Project planning. A resourcing plan outlining project deliverables is created so that each project has the correct level and number of people. Specially created “tools” allow our project leaders to accurately assess the requirements of each project and this information is fed into our Management Information System (MIS).
- Programming. Each project has its own programme, aligned with the brief and Project Execution Plan (PEP) and dovetailed with programmes produced by other team members (ie procurement and construction) to demonstrate the flow and sequencing of work and the relationship and importance of tasks for each design team member.
- Progress checking. All projects have a series of design and technical reviews throughout the project lifecycle. Progress is regularly checked against the programme and resource plan. Design change procedures are also in place to allow flexibility or changing circumstances that often occur as the design develops. Having these controls in place allows us to establish ‘early warning’ systems which enable us to take corrective action before a problem becomes insurmountable.
